GlazeOps ("we," "us," "our") operates the cloud-based project management platform at https://glazeops.com (the "Service"), designed for glazing subcontractors. This Privacy Policy explains how we collect, use, store, share, and protect your personal information when you use our Service.
By using GlazeOps, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use the Service.
1. Information We Collect
1.1 Information You Provide Directly
When you register for an Account or use the Service, you may provide us with:
- Account Information: Name, email address, phone number, job title, and password
- Company Information: Company name, address, phone number, and logo
- Project Data: Project names, addresses, contract details, submittal information, RFI records, change order details, daily report content, scheduling data, procurement records, and related project management information
- Bidding Data: Bid opportunity details, general contractor information, project scope descriptions, takeoff quantities, cost estimates (material, labor, equipment), markup percentages, vendor quote information, proposal content (scope items, exclusions, terms, alternates), bid results (won/lost/no-bid), loss reasons, competitor information, win/loss analytics, and pricing history
- Financial Data: Cost estimates, budgets, cost code allocations, change order amounts, purchase order values, vendor invoice amounts, timecard hours and labor rates, expense amounts, billing period data, Schedule of Values, markup percentages, and other project-related financial information entered into the Service
- Employee and Labor Data: Employee names, phone numbers, email addresses, labor rates, certifications, hire dates, and timecard records that you enter into the Service for labor cost tracking purposes
- Contact Information for Third Parties: Names and contact details of general contractors, architects, suppliers, and other project stakeholders that you enter into the Service
- Uploaded Documents: Files, drawings, specifications, photos, and other documents you upload to the Service
- Audio Recordings: Meeting audio recordings captured through your device's microphone when you use the Meeting Minutes or Quick Notes audio recording feature. These recordings may contain voices and spoken content of meeting participants.
- Communications: Any correspondence you send to us for support or feedback
1.2 Information Collected Automatically
When you access the Service, we automatically collect certain technical information:
- Log Data: IP address, browser type and version, operating system, referring URLs, pages visited within the Service, date and time of access, and access duration
- Session Data: Authentication tokens and session identifiers necessary to maintain your logged-in state
- Usage Data: Features used, actions taken within the Service, and general usage patterns
1.3 Information We Do Not Collect
We do not knowingly collect:
- Social Security numbers or government-issued identification numbers
- Bank account numbers, credit card numbers, or direct payment information (payment processing is handled by Stripe, Inc. — see Section 3.4)
- Protected health information
- Information from children under the age of 18
2. How We Use Your Information
We use the information we collect to:
- Provide the Service: Operate, maintain, and deliver the project management and financial tracking features you use, including generating PDF exports, managing submittals and RFIs, tracking change orders, purchase orders, timecards, expenses, job costs, progress billing, and facilitating daily reporting and team communication
- Manage Your Account: Create and maintain your Account, authenticate your identity, and manage user permissions within your Company Account
- Communicate with You: Send you service-related notices, security alerts, system updates, and respond to your support requests
- Improve the Service: Analyze usage patterns to identify bugs, improve features, optimize performance, and develop new functionality
- Ensure Security: Detect, prevent, and address fraud, abuse, security incidents, and technical issues
- Comply with Legal Obligations: Fulfill any legal or regulatory requirements applicable to us
3. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following limited circumstances:
3.1 Within Your Company Account
Information and Project Data you enter into the Service may be visible to other users within your Company Account, based on their roles and permissions. Company administrators have access to user activity and data within their organization.
3.2 Service Providers
We may share information with trusted third-party service providers who assist us in operating the Service, such as hosting providers, email delivery services, and error monitoring tools. These providers are contractually obligated to use your information only to provide services to us and to protect your information.
3.3 AI Assistant (Lux) — Anthropic
The Service includes an AI-powered assistant called "Lux" powered by Anthropic's Claude AI. When you use Lux, the following data is transmitted to Anthropic for processing:
- The text content of your chat messages to Lux
- Recent conversation history within your current Lux session (to provide contextual responses)
We do not send the following to Anthropic:
- Your name, email, or personal contact information
- Your company information or project data
- Files, photos, or attachments
- Data from other parts of the Service (submittals, procurement, daily reports, etc.)
Anthropic processes your messages solely to generate a response and does not use API-submitted data to train their AI models. For more information, refer to Anthropic's Privacy Policy and API Terms of Service.
Your Lux conversation history is stored within the Service and is accessible only to you. Company administrators cannot view your AI assistant conversations.
3.4 Meeting Minutes & Quick Notes — AssemblyAI and Anthropic
The Service includes a Meeting Minutes and Quick Notes feature with optional audio recording and AI transcription. When you use this feature, the following data may be transmitted to third parties:
- Audio recordings are uploaded to AssemblyAI, Inc. ("AssemblyAI") for speech-to-text transcription with speaker identification. The raw audio file is transmitted to and temporarily processed by AssemblyAI's servers. For more information, refer to AssemblyAI's Privacy Policy.
- Text transcripts (the output from AssemblyAI, not the original audio) may be sent to Anthropic's Claude AI to generate structured meeting notes, summaries, and action items.
We do not send the following to AssemblyAI or Anthropic alongside meeting data:
- Your name, email, or personal contact information
- Your company information or project metadata
- Attendee names or contact details (unless spoken in the audio recording itself)
Your meeting minutes, transcripts, and generated notes are stored within the Service and are accessible to members of your Company Account who have access to the relevant project. Audio recordings are stored temporarily during processing and may be retained on our servers as part of the meeting record.
Important: Any confidential or sensitive information spoken during a recorded meeting will be included in the audio transmitted to AssemblyAI and in the transcript text transmitted to Anthropic. You are responsible for ensuring appropriate consent is obtained from all participants before recording.
3.5 Payment Processing — Stripe
Subscription payments are processed by Stripe, Inc. ("Stripe"). When you subscribe to a paid plan, your payment information (credit card number, billing address) is collected and processed directly by Stripe. We do not receive, store, or have access to your full credit card number. We receive from Stripe only: the last four digits of your card, card brand, expiration date, billing address, and transaction status. This information is used to display your billing details and manage your subscription.
Stripe's handling of your payment information is governed by their Privacy Policy. We store a Stripe Customer ID associated with your Company Account to manage your subscription relationship.
3.6 Team Chat Data
The Service includes a team chat feature. Chat messages you send are stored within the Service and are visible to other members of your Company Account who have access to the relevant channel (company-wide or project-specific). Chat messages are not shared outside your Company Account. Chat data is retained as long as your Company Account is active and is subject to the same data retention policies as other Content.
3.7 Legal Requirements
We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to: (a) comply with a legal obligation; (b) protect our rights, property, or safety; (c) protect the rights, property, or safety of our users or the public; or (d) detect, prevent, or address fraud or security issues.
3.8 Business Transfers
In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information.
4. Data Storage and Security
4.1 Where We Store Your Data
Your data is stored on secure servers located in the United States. By using the Service, you consent to the transfer and storage of your information in the United States.
4.2 Security Measures
We implement commercially reasonable technical and organizational measures to protect your information, including:
- Encryption of data in transit using TLS/SSL (HTTPS)
- Secure password hashing using industry-standard algorithms
- CSRF protection on all form submissions
- Prepared database statements to prevent SQL injection
- Role-based access controls within Company Accounts
- Regular security updates to our server infrastructure
- Session management with automatic expiration
While we take reasonable precautions to protect your data, no method of transmission over the Internet or method of electronic storage is 100% secure. We cannot guarantee the absolute security of your information.
4.3 Your Security Responsibilities
You are responsible for maintaining the confidentiality of your Account credentials and for any activity that occurs under your Account. You should use a strong, unique password and notify us immediately if you suspect unauthorized access to your Account.
5. Data Retention
We retain your information for as long as your Account is active or as needed to provide you with the Service. If you or your Company administrator requests Account deletion, we will retain your data for a minimum of 30 days to allow for data export, after which we will permanently delete your personal information and Project Data from our active systems.
We may retain certain information for longer periods as necessary to comply with our legal obligations, resolve disputes, enforce our agreements, or as required by applicable law. Aggregated, anonymized data that cannot be used to identify you may be retained indefinitely for analytical purposes.
6. Your Rights and Choices
6.1 Access and Export
You can access and review your personal information through your Account settings. The Service provides export features (including PDF exports) that allow you to download your Project Data.
6.2 Correction
You can update or correct your personal information at any time through your Account settings or by contacting us.
6.3 Deletion
You may request deletion of your Account and associated personal information by contacting us at support@glazeops.com. Please note that deletion of your Account may affect other users within your Company Account who rely on shared Project Data.
6.4 Communication Preferences
You may opt out of non-essential communications by using the unsubscribe link in our emails or by contacting us. You cannot opt out of essential service-related communications (such as security alerts, account notifications, or changes to our Terms).
6.5 California Residents
If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and how it is used, the right to request deletion of your personal information, and the right to non-discrimination for exercising your privacy rights. 6.6 Nevada Residents
Nevada residents may submit a request directing us not to sell their personal information. We do not currently sell personal information, but you may submit such a request to support@glazeops.com.
7. Cookies and Tracking
GlazeOps uses session cookies that are strictly necessary for the operation of the Service. These cookies are used to maintain your authenticated session and are not used for advertising or tracking purposes.
We do not use third-party advertising cookies, social media tracking pixels, or cross-site tracking technologies. We do not serve advertisements within the Service.
8. Third-Party Links
The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party services you access through or in connection with the Service.
9. Children's Privacy
The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly. If you believe a child has provided us with personal information, please contact us at support@glazeops.com.
10. Construction Industry Data Considerations
The nature of the glazing and construction industry means that certain data entered into the Service may include information about project sites, building addresses, general contractor details, and subcontractor relationships. We treat all such information as confidential business data and apply the same protections described in this Privacy Policy.
We understand that Project Data may include commercially sensitive information such as pricing, margins, vendor relationships, labor rates, job cost data, billing amounts, and project strategies. We will not disclose this information except as described in Section 3 of this Privacy Policy.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the Service, or applicable laws. If we make material changes, we will notify you by email or by posting a prominent notice within the Service at least 15 days before the changes take effect.
We encourage you to review this Privacy Policy periodically. The "Effective Date" at the top of this page indicates when this Privacy Policy was last updated.
